Customer success
In Part 1 and Part 2 our series on the lack of resources in Learning and Development (L&D), we looked at how to develop a solid L&D strategy given time and budget constraints and how to foster a culture of continuous learning in the workplace. Now we turn to another important piece of the L&D puzzle: the creation of learning content. The focus here is on user-generated content (UGC) and what role it plays, especially when time and budget are tight. Because user-generated content - especially with the support of AI - is a promising solution that not only saves time and resources, but also promotes a learning culture that values and supports the engagement of all employees.
User-generated content is becoming more and more of an issue in companies - and for good reason, as the approach not only increases the efficiency of your content production, but also offers many other advantages, which we will briefly highlight here.
Cost-effective learning
Developing professional learning content from scratch or buying ready-made courses can quickly become very expensive. You often have to consider not only the initial costs, but also the follow-up costs, e.g. if you want to update or adapt a training course in some way. User-generated content, on the other hand, leverages the knowledge and skills that already exist in your organization, turning your employees into content authors themselves, which can significantly reduce the cost of creating learning content.
Time-efficient content production
UGC is not only cost-efficient, it also saves time. Your employees can prepare their expert knowledge directly and share it with their colleagues. Initially, of course, it takes some time, as employees have to be introduced to and trained in the topic of "creating learning content". But once they have the necessary skills, you can save yourself the time normally needed for the design, development, delivery and, above all, often lengthy feedback loops of learning content. You can also update and add to your organization's learning content more quickly, without the usual delays often associated with time-consuming feedback loops.
Higher acceptance & relevance
A major challenge for personnel development is to gain the acceptance of learners. User-generated content has a clear advantage here: it is created by colleagues. This means that the learning content is relevant to practice and technically convincing. This increases acceptance among learners and increases their willingness to learn and motivation.
Promoting a collaborative learning culture
By promoting user-generated content, you not only facilitate learning - you also promote a culture of collaboration and knowledge sharing. Employees become active participants in the learning process, which increases their engagement and intrinsic motivation to learn.
The integration of artificial intelligence (AI) into learning content development is a promising approach to counteracting a lack of resources in learning and development. Generative AI applications dominate here, enabling the rapid creation of learning content, which significantly improves the efficiency of content production.
By using AI, learning objectives can be defined more precisely, which is particularly helpful for less experienced content creators. In addition, AI can support the design of quiz questions and the structuring of courses, which not only saves time but also increases the quality of learning opportunities.
AI can take content creation to a whole new level in particular, it promotes the development of user-generated content (UGC), enabling content to be created faster and significantly reducing the workload of L&D departments. The challenge for UGC creators often lies less in "wanting" than in "knowing". There is often a lack of didactic knowledge, the right tools and time to create effective content. The AI Authoring Tool knowtion, for example, has been developed for precisely this purpose. With unique AI-supported didactic support and an AI chatbot, it enables even employees without extensive prior didactic knowledge to create high-quality learning content - from generating learning objectives to complete training.
We have now seen the advantages of user-generated content, especially in conjunction with artificial intelligence. But how do you successfully introduce UGC in your company and secure employee acceptance? Here are a few strategies that have proven themselves in practice:
Time management and careful planning
When introducing UGC, it is essential that you integrate time for content creation into your employees' daily work routine. For example, consider setting up special "learning windows". These are set periods of time when employees are encouraged to focus on content creation. Incorporating such periods into the working day not only encourages the creation of UGC, but also helps to establish a culture of learning and knowledge sharing in your company.
Clear communication of the benefits
In order for your employees to recognize the value of UGC and actively participate in content creation, it is also important to clearly communicate the benefits. Demonstrate how UGC contributes to their personal development - but also to recognition and visibility, creates an extensive internal knowledge base and can be used as a resource for future training, onboarding processes and to solve specific challenges.
Provision of support
It is also important to support your employees in the creation of UGC. So don't just let them jump in at the deep end, but offer training and workshops that teach specific content creation skills. Also provide tools that facilitate the creation and management of UGC.
Ensuring quality
It is important to introduce quality assurance systems to ensure the quality of learning content. Implement peer reviews or editorial loops in which content is reviewed and feedback is given. This not only helps to ensure the quality of UGC, but also strengthens confidence in the (added) value of user-generated content.
However, it is equally important that you do not have the same expectations of UGC as you do for professionally created learning content. The goal is to impart knowledge and not to win a design award.
Inclusion of managers
The managers in your company play a crucial role in promoting UGC. They can help reserve the necessary time for UGC and increase acceptance of this solution. Managers can also serve as role models by creating content themselves and exemplifying and promoting the principle of lifelong learning.
Promotion of an open learning culture
To increase the acceptance of UGC, it is important to promote an open learning and error culture in your company. Encourage your employees to share their knowledge and skills with their colleagues, recognize their efforts and communicate that mistakes are perfectly okay.
In summary, we can say that implementing UGC in your organization is a strategic decision that requires careful planning, support and continuous communication. But the benefits it offers - from building an extensive internal knowledge base to fostering a culture of learning and knowledge sharing - make it an investment worth making. Overall, it also shows that AI in particular has great potential to further advance the topic of user-generated content and increase efficiency in content production many times over.
