An AI learning assistant – also known as an AI learning companion or AI coach – helps employees find information more quickly, answer questions directly as part of their daily work, and integrate learning more effectively into specific work situations. At youknow, we call them “learning buddies” – because they don’t lecture, but rather guide: in a context-specific way, exactly when support is needed.
The data is stored in Germany – hosted by Hetzner Online GmbH. The AI technology used is Microsoft’s Azure OpenAI, a European service that operates in compliance with the GDPR. Important: The AI does not process any personal data, but only content data. What is stored in the knowledge base remains within the company’s system – the data is not used to train external AI models.
A simple chatbot answers predefined questions from a fixed script. ChatGPT knows a lot – but nothing about your own company. And an internal Company-GPT knows the company’s data, but is typically a generic tool without a didactic approach, without a “push” component, and without a focus on specific learning or work situations.
A learning buddy is more specific—and therefore more effective: It responds exclusively based on approved company content, is configured for a specific target audience and role, and includes features developed for corporate use: prompts for reflection, multimedia output (images, speech, video, and interaction), and active push notifications. It doesn’t wait to be accessed but comes directly into employees’ work environments. And through an analytics dashboard, L&D managers can see which questions are being asked, what’s working—and where there are still gaps in the knowledge base.
The knowledge base consists of approved company content: manuals, process documents, product information, training materials, or internal expert knowledge. Important: The content is reviewed, kept up to date, and approved for the respective target audience. The company—not the AI—determines what goes into it.
Currently, content is added via direct uploads. Integration with SharePoint is under development—in the future, the knowledge base will be automatically synchronized as soon as documents there are updated or new ones are added.
Learning buddies are ideal wherever knowledge is needed quickly, in a context-specific manner, and on a recurring basis. Depending on the use case, a learning buddy takes on a different role:
They are particularly effective for topics where employees have previously spent a lot of time searching for information or asking colleagues.
Employees interact with the learning buddy but do not train it directly. However, their questions and inquiries can provide valuable insights into which knowledge is missing or unclear – and thus guide the further development of the knowledge base. Maintaining and updating the content is the responsibility of designated individuals within the company.
A well-configured learning buddy openly admits when it doesn’t know something or when a question is outside its area of expertise, rather than guessing. This is a deliberate design principle: reliability and clear boundaries are more important than providing an answer at any cost. Unanswered questions can be used to expand the knowledge base in a targeted manner.
That depends on the scope of the knowledge base and the organizational requirements. The first functional prototypes are often developed within a few weeks. A full implementation – including content maintenance, rollout, and user support – usually takes longer, depending on the complexity of the topic and the target audience.

We do not work with standard packages because every organization has different requirements. During the practical assessment, we work with you to determine what is realistic – and what specific outcomes are expected.
An LMS organizes and manages learning content – courses, certifications, and learning paths. An AI learning assistant complements the LMS by making knowledge and support available directly in the course of daily work—without employees having to actively log into the LMS. Both have their place: The LMS structures learning, while the learning assistant delivers it at the moment of need.
As with all generative AI systems, this cannot be ruled out 100% of the time. To minimize the risk, every response undergoes several checks: multi-stage verification processes, self-checks by the AI, and – for topics where information accuracy is critical – automatic citation of sources. In practice, this significantly reduces the risk.
No – learning buddies complement traditional formats but do not replace them. Training provides the foundational knowledge and fosters the willingness to ask the right questions. Learning buddies bridge the transfer gap: They offer support precisely when employees need to take concrete action in their day-to-day work.
The feedback we’ve received so far has been very positive. The main reason: Learning Buddies solve specific problems in day-to-day work. Instead of searching for information in training sessions or documents, employees receive quick, context-specific support – exactly when they need it. This has led to a very high level of acceptance.
Yes. Many companies already have their own corporate AI. A learning buddy can be integrated with it – with the advantage that existing security and governance structures can be leveraged and existing data sources can be incorporated.
